Getting Started Perform the steps listed below before adding any flights or aircraft profiles. This will help you get the most out of the AvJournal product and all of its features.

The Pilot Profile Screen

New members are presented with the pilot profile screen upon first login. Take a few minutes to configure the following options as it allows you to use AvJournal to its fullest potential. As you become more familiar with the AvJournal application, you can visit your pilot profile to change, modify or try different settings and options. You will also use your pilot profile to maintain your currency settings and aviation associates from time to time. To get to your pilot profile, click the pilot profile link in the upper right portion of the screen.

Pilot Profile, Pilot Section - Click the Edit button on the Pilot screen to add or change address, phone, email and other system specific preferences like:

  • Logbook Format - FAA or JAA (JAA format includes the required JAA fields and options)
  • Logbook Time Entry and View Format - 000.0 (tenths), 000.00 (hundredths), 00:00 (hh:mm)
  • Date Format - mm/dd/yyyy or dd/mm/yyyy
  • Rows Per Page - Choose how many rows of data you wish to view when flight history and aircraft profiles are displayed
  • Pilot is a CFI - Used to determine whether or not currency fields and information for a CFI are avaialble and displayed

Pilot Profile, Currency Information - Click the Edit button on the Currencey Information screen to add or change pilot currency information. This information is used to display currency status in the Dashboard screen. The currency options include:

  • Day VFR PAX Currency - Landing requirements in a specified time period
  • Night Currency - Landing requirments in a specified time period at night
  • IFR Currency - Number of approaches within a specified time period
  • Tailwheel Currency - Landing requirements for a tailwheel type aircraft
  • Medical Certificate Information - Issue date and expiration date of medical certificate
  • CFI Certificate Information - Issue date and expiration date of CFI certificate. (These fields are only displayed if the "Pilot is CFI option is turned on)
  • Proficiency Information - Last flight review, flight review type and review expiration

Pilot Profile, Aviation Associates - Click the Edit button on the Aviation Associates screen to add or change information related to people you work with, train with or fly with just for fun. Aviation Associates are used when adding or editing your flights and selecting a safety pilot or CFI/DE/Check Pilot for a flight. This helps you quickly and easily store safety pilot, CFI, designated examiner or check pilot information when adding certain flights. Once Aviation Associates are added, they will be displayed in the Pilot Profile section for quick reference and management. All Aviation Associates will be available for selection when adding or editing a flight for the Safety Pilot or CFI/DE/Check Pilot options. Aviation Associates are comprised of:

  • Associate Name - first and last name
  • Associate ID - pilot ID or CFI certificate number etc.
  • Associate Type - free form text (Examples: CFII, Safety Pilot, DE, Route Check, Check Pilot)
  • Remarks - free form notes related to associate

Pilot Profile, Custom Logbook Categories - Click the Edit button on the Custom Categories screen to add or change custom logbook categories. You may add as many as you like, but know that your flight entry screen will display all custom categories and you will have to bypass fields not related to certain flights. Custom categories also appear in the reporting section as well as the logbook extract or snapshot. Once custom logbook catagories are added, they will be displayed in the Custom Categories screen. Here are some examples of what you could use Custom Categories for:

  • BUS - Track business expenses or business flight time
  • ACRO - Track acrobatic flight time
  • HELI - Track helicopter flight time
  • FERY - Track ferry flight time
  • AGG - Track aggricultural spraying flight time
  • FIRE - Track fire bombing flight time
  • TOW - Track glider or banner towing flight time

Aircraft, Set Up Aircraft Profiles (If Not Importing Time) - If you fly one or more aircraft regularly, you should set up an aircraft profile for those aircraft right now. If you want to get started adding flights to your logbook or fly many different aircraft, go ahead and start adding your flights. You can enter aircraft information "on the fly" when you are adding flight information into the logbook. This is a real easy way to get your flight time stored and get aircraft profiles created. NOTE: The aircraft profiles that are created "on the fly" in the flights entry screen will need to be configured further at some point in order to take advatage of the reporting capabilities of AvJournal.

Aircraft Profiles are very, very powerful and allow you to create custom reports out of your flight data never before imaginable! By selecting the aircraft attributes that apply to each aircraft you fly, you can get some very interesting and unique reports showing the time you have accumulated in aircraft with certain features.

Import Flight Time From Excel or CSV File - Click on the TOOLS menu and begin the import process. Our import process is simple to use and gets your data into AvJournal quickly. With only 4 main steps, you will get your data secured and managable in minutes. Step 1 will have you specify your data file, choose how many records you want to preview, choose field separators and whether the first row is data or column names. Then you will preview your data to make sure it looks right. After that, you will map your data fields to the AvJournal fields and choose whether or not to delete any existing flight or aircraft records. A stats page will be displayed to let you know how many flight and aircraft records were created. Below are the import screens in order.

Add Any Previous Flight Time Totals (If Not Importing Time) - Create dummy aircraft profiles for the types of aircraft required. For example, if you have time in multi engine and single engine aircraft, create a dummy multi engine aircraft profile with the appropriate attributes set and one for the single engine time. Name the aircraft profile something like "Dummy Multi" or "Dummy Single" or "Dummy Cessna 172". Add new flights using the dummy aircraft profiles. You could also add dummy aircraft for specific makes and models if you would rather break your total type up that way. Simply add a dummy aircraft profile for each type of aircraft you wish to add previous flight time for. AvJournal allows you to add an aircraft on the fly from the flight entry screen, you can do this if you prefer and update/set the aircraft attributes later.

  • Go to the Flights screen and add a new flight. Use the date of the first flight in each type of aircraft for the flight date so that it is well into the past or at least before the dates of any individual flights you have added to AvJournal
  • Type "Previous" into the From field and "Flight Time" into the To field in the flight entry screen. You don't have to use that exact wording, but it will help you identify the flight as a previous flight time entry.
  • Enter the total time or count values for each logbook entry field, example: Takeoffs Day: 4000, Landings Day: 3878, Night: 356.5, Simulated Instrument: 87.9, Cross Country: 632.2 and so on. Add any custom logbook categories before you add your previous flight time totals if necessary.
  • Don't populate anything in the Safety Pilot and CFI/DE/Check Pilot drop down lists, leave them as. If you are using the JAA format make a Captain selection and leave the Operating Capacity as the default selection
  • Just enter your grand totals for the aircraft profile you've selected and you will then see them on the dashboard, and reports. It will however just show as one single flight in the flights listing screen.
  • Treat the Total Duration field as a Total Time entry field, this should represent all time logged in the aircraft
  • Remember, once you add the previous flight time flight records, you can always go back and adjust them if they are incorrect. You can also update the aircraft profile tied to the previous flight time record if needed.


Here is an example of previous flight time being added for a pilot's C172 time.
